BESS maintenance records

BESS maintenance records show each inspection, test, repair, and software change, with dates, measurements, parts, and the next scheduled check, linked to the system identifier.

GUIDE / STATIONARY STORAGE & BESSIDENTITY → INFORMATION → EVIDENCE

BESS maintenance records show each inspection, test, repair, part replacement, and software change for a stationary system, with the date, the work done, the measurements taken, and the next scheduled check. Maintenance over a long stationary life is the main source of use phase information, and the record must link each entry to the system identifier and, where relevant, to the module identifier. A software update that changes a protection setting, a charge limit, or a thermal limit is a maintenance event with safety consequences, and the record must state the version before and after, the date, and the approver.

Maintenance means the inspections, tests, repairs, and updates carried out to keep a stationary system in safe working condition. The scope covers preventive maintenance, corrective maintenance, and software changes, for the system stated.

How is the stationary category decided?

BESS maintenance records applies within that frame, and the record should not borrow an EV battery rule without checking whether the article applies to industrial batteries. A maintenance technician recording a quarterly inspection of a storage container should record the category decision, including the capacity calculation and the date, because the threshold decision decides whether a passport is required. A quarterly inspection should record insulation measurements, cell voltage spread, temperature sensor checks, and any alarms, with the results compared to the previous inspection and the next check date set.

How is the record built in layers?

For BESS maintenance records, each layer should name its source, its date, and its owner. Maintenance logs, measurement records, and parts and software records should be tied to the identifier, so a maintenance entry, a commissioning test, and a passport entry refer to the same system. Maintenance that changes capacity, safety settings, or configuration should update the passport or linked record where the Regulation requires an update, and earlier entries should be preserved in version history.

How is performance measured in service?

For BESS maintenance records, the record should state the capacity test method, the temperature range, the charge and discharge rates, the depth of discharge, and the end of life criterion used for a durability statement. A maintenance technician recording a quarterly inspection of a storage container should name the standard or method used for each value and should not present a laboratory value as a site value without stating the difference. A quarterly inspection should record insulation measurements, cell voltage spread, temperature sensor checks, and any alarms, with the results compared to the previous inspection and the next check date set.

How is safety information recorded?

For BESS maintenance records, the record should state the safety tests applied, the battery management system functions that protect the system, the ventilation or enclosure requirements, and the instructions given to the site operator. Maintenance logs, measurement records, and parts and software records should include the test reports, the installation instructions, and the handover of safety information, each dated. Maintenance that changes capacity, safety settings, or configuration should update the passport or linked record where the Regulation requires an update, and earlier entries should be preserved in version history.

How are installation and maintenance recorded?

For BESS maintenance records, the commissioning record should state the installer, the date, the tests passed, the settings applied, and any deviations from the design. A maintenance technician recording a quarterly inspection of a storage container should ensure that maintenance entries update the passport or the linked record where the Regulation requires an update, and that earlier entries are preserved. A quarterly inspection should record insulation measurements, cell voltage spread, temperature sensor checks, and any alarms, with the results compared to the previous inspection and the next check date set.

How are transfer and end of life decisions recorded?

For BESS maintenance records, a transfer of ownership, a change of application, a repurposing of EV modules into stationary service, or a move to recycling each needs a dated entry, a named operator, and a statement of what was transferred. Maintenance logs, measurement records, and parts and software records should include the state of health assessment, the safety checks applied, and the new application, where a second life use is claimed. Maintenance that changes capacity, safety settings, or configuration should update the passport or linked record where the Regulation requires an update, and earlier entries should be preserved in version history. A maintenance technician recording a quarterly inspection of a storage container should check the passport or linked record at transfer, record any gap found, and give the gap an owner and a review date.

How is a maintenance trend used to plan work?

A maintenance trend is used by comparing each inspection with the previous inspections for the same system, under the same measurements. A worked trend for insulation resistance shows four quarterly values, each with the test method and temperature, and a falling trend that triggers a planned inspection before the next scheduled date. The plan records the trigger, the action, and the date, and the follow up inspection records whether the trend continued or stabilised. A single low value without a trend is investigated, but a trend of falling values is planned work, and the record should show the planning decision. A maintenance file that holds measurements without comparing them holds data, but not a trend.

Maintenance history is the operating biography of the system, and a gap in that biography is a period in which the system has no witness.
