Start with your information process
The right questions begin with your product data, systems, partners, and operating responsibilities. A polished passport screen is only one part of the decision.
Questions for a demonstration

Bring a sample record
Use a non-sensitive sample and include a few missing values or conflicting units. This reveals how the system handles ordinary operational problems, rather than only ideal examples.
Ask about responsibility
Document who hosts the information, maintains identifiers, handles incidents, approves updates, and helps with a migration. Clarify which tasks remain with your organization.
Compare total operating effort
Consider integration work, internal data cleanup, recurring fees, training, supplier onboarding, and exit arrangements. A low entry price may not reflect the full effort of operating a reliable information process.
Treat compliance claims carefully
Ask a vendor to connect claims to specific requirements and explain the limits of its service. No software purchase should be treated as automatic proof that every obligation has been met.
