What Screening and Testing Evidence Belongs in a BESS Record?

Screening and testing evidence for a BESS record links each screening result and test result to an identified battery, a named method, a dated report, and a named tester, so a later reader can trace the claim without repeating the test.

GUIDE / STATIONARY STORAGE & BESSIDENTITY → INFORMATION → EVIDENCE

Screening and testing evidence in a BESS record is the set of dated entries showing what screening was applied, what testing was reported, and which battery each result belongs to, for a stationary system within the battery passport scope of Regulation (EU) 2023/1542. The governing condition is the battery category and passport applicability set by the Regulation, with format and timing set there and, where detail is left to later acts, in the applicable delegated or implementing act in force at the entry date. An entry without a battery identifier, method name, or date cannot be traced, and an untraced result does not support a passport entry.

Screening evidence means the recorded outcome of checks sorting a cell, module, or system into a stated category before further testing, use, or transfer. Testing evidence means the recorded outcome of a test reported against a named method or standard, with stated conditions and a dated report. This guide covers evidence fields and traceability only, not how to screen, test, commission, or record site acceptance or zero export tests. Those topics sit in the related guides listed in the frontmatter.

What counts as screening evidence?

Screening evidence counts when the record states the criterion as applied, the category assigned, the object screened, the date, and the screener role. An entry stating only a category cannot be checked later. Hold the criterion in the words used at the time; a changed category is a new dated version, with the earlier entry retained and linked. The Regulation gives no single published screening list for a BESS record, so no list here is a Regulation list. Record a point only when actually checked.

  • Criterion as stated, with source document named
  • Object screened, by identifier as stated on the note
  • Category assigned, in the terms used by the note
  • Date of screening and role of the screener
  • Filed note reference, with version where a version exists
  • Follow up where screening assigned a restricted category or further test

What counts as testing evidence?

Testing evidence counts when the record states the test name, the method or standard named on the report, the conditions stated, the result as stated, the test date, and the tester role. A result without its method name loses comparability. Factory and site results should be separate entries with separate dates. Reports for industrial lithium cells and batteries may name EN IEC 62619:2022, stated exactly as named on the report. A module result must not be recorded as a system result unless the report states that scope, and a stated outcome should be carried without upgrading it.

  • Test name as stated on the report
  • Method or standard named, with version or year where stated
  • Conditions stated, including configuration and sample identity
  • Result as stated, including outcome category
  • Test date and tester role, with organisation where stated
  • Filed report reference, with version where a version exists

How is a test result traced to a battery?

Traceability links a passport entry back to one identified battery and one filed report. The identifier on the entry should match the report identifier character for character. Record any mismatch as a gap with an owner and a review date, not as a silent correction. A revised report should appear as a new version linked to the earlier version, with change date and reason stated. The earlier version stays filed.

What fields belong in the record for each entry?

Each entry belongs in the record as a complete row, not as a bare value. A value without method, date, and object cannot be checked and should not be carried into a passport entry. Where a field is not stated on the report, record it as not stated, not as an assumed value.

How are gaps, failures, and inconclusive results recorded?

A gap is a missing field, a mismatched identifier, a missing report, or an unresolved outcome. Each gap needs an owner, a review date, and a plain statement of what evidence would close it. A closed gap is not deleted; closure is a new dated entry referencing the gap. A failure is recorded as reported, never as a pass. A further test after a failure is a separate entry stating whether it superseded the failed result or only added to it. An inconclusive result follows the same pattern, carried openly until resolving evidence is filed.

How does this evidence differ from commissioning and site acceptance records?

Screening and testing evidence is general evidence about a battery and its reports. Commissioning evidence concerns installation and handover at a site, and site acceptance evidence concerns tests on the installed system at that site. Keep them as separate entries: a module screening result does not prove site acceptance, and a site acceptance result does not prove every module was screened under the same criterion.

Record kindQuestion answered
Screening and testing evidenceWhat was screened or tested, under what method, with what result, for which battery
Commissioning recordsWhat was installed, handed over, set at a site, and what deviations were noted
Site acceptance and zero export recordsWhat site acceptance and zero export tests showed for the installed system

What does a worked record look like?

The worked record below shows the field pattern for one system, using placeholder values labelled illustrative, not measurements from a real battery. A real record would replace each placeholder with the value stated on the filed note or report.

FieldIllustrative placeholder entry
ObjectBESS-EXAMPLE-001 (illustrative placeholder, not a real system)
ScreeningCriterion, category, date 2026-10-15, screener role, note reference (illustrative placeholders)
TestingTest name, method EN IEC 62619:2022, conditions, result, date 2026-10-15, tester role, report reference (illustrative placeholders)
TraceEntry identifier matches report identifier, version and location stated (illustrative placeholders)
GapNo open gap in this example, or gap with owner and review date

A reader holding this pattern can check a real record entry by entry and name the exact missing field. A reader holding only a summary value cannot run that check.

How is the record checked before it is relied on?

A check before reliance names the role, the object, the evidence, and the date. The checker confirms each entry carries its object identifier, method or criterion, result as stated, date, and report reference, with each identifier matching the filed report, factory and site results as separate entries, and any open gap carrying an owner and review date. A missing field is recorded as a gap, not filled from assumption. Where one report is cited in more than one record kind, each citation should state the question it answers there.

General educational information only, this guide is not individual legal advice, and the current Regulation text and any applicable delegated or implementing act should be checked before acting on a specific battery or decision. The Regulation gives no single published screening list for a BESS record, and no list here is such a list.
